This policy explains what data we collect, how we use it, and your rights as a user of the Wagent platform.

Wagent ("we", "us", or "our") operates the website hirewagent.com and the Wagent platform — an AI-powered business communication and automation service (collectively, the "Service"). Wagent is operated as an independent sole proprietorship. All inquiries may be directed to wagent.ai@proton.me.
By accessing or using the Service, you acknowledge that you have read, understood, and agree to this Privacy Policy.
We collect information necessary to deliver and improve the Service, including:
Account Information: When you register, we collect your name, email address, and any preferences you provide during onboarding.
Business Data You Provide: This includes your organisation name, connected communication channels, custom AI agent configurations, training data (documents, URLs, prompts), and contact lists you manage within the platform.
Usage and Interaction Data: We collect logs of how you use the platform, feature interactions, session durations, and technical diagnostics to help us improve the Service and detect abuse.
Communication Metadata: Wagent processes metadata related to messages handled by your AI agents (e.g., timestamps, channel identifiers, conversation thread references). Message content may be processed by third-party AI providers as described in Section 6.
Payment Information: We do not store payment card details. All billing is handled by our payment processor, Polar (polar.sh). Their privacy practices are governed by their own policy.
Technical Data: We collect IP addresses, browser types, device identifiers, and log data automatically when you interact with the Service.
We use the information we collect to:
— Provide, operate, and maintain the Wagent platform
— Create and manage your account and workspace
— Power AI-driven responses for your connected channels
— Process payments and manage subscriptions
— Send service-related communications (e.g., receipts, security notices, product updates)
— Detect, investigate, and prevent fraudulent transactions, abuse, or violations of our Terms
— Comply with applicable legal obligations
— Improve platform performance, reliability, and feature development based on anonymised usage patterns
We do not sell your personal data to third parties. We do not use your business data to train our own AI models.
Wagent enables you to connect third-party communication channels including WhatsApp, Instagram, Telegram, Email, and SMS ("Connected Channels"). The following measures are in place to protect your data:
Credential Protection: All authentication credentials for Connected Channels (API tokens, session keys, app passwords) are encrypted at rest using AES-256 encryption before being stored in our database. Encryption keys are stored separately from the encrypted data.
Data in Transit: All data transmitted between your browser, our servers, and third-party APIs is encrypted using TLS 1.2 or higher.
Session Isolation: Each Connected Channel operates in an isolated runtime environment. One user's channel session cannot access another user's session data.
Database Access Controls: Our database (Supabase/PostgreSQL) enforces Row-Level Security (RLS) policies, ensuring each user can only access their own data.
No Permanent Message Storage: Wagent does not permanently store the body of messages exchanged through Connected Channels beyond what is operationally necessary for AI processing. Conversation logs may be retained for a limited retention period for support and debugging purposes.
You are responsible for ensuring that your use of Connected Channels complies with the terms of service of those respective platforms. Wagent provides a technical integration layer and is not responsible for any decisions made by third-party channel providers regarding account restriction, suspension, or termination.
The Wagent platform uses AI language models to generate automated responses for your business. Specifically, the Service currently utilises Google Gemini, provided by Google LLC, to power conversational AI features.
How AI Processing Works: When a message is received on one of your Connected Channels, its content may be processed by the Google Gemini API for the purpose of generating a contextually relevant, automated response consistent with your configured agent persona and knowledge base.
Third-Party AI Privacy: Message content processed through the Gemini API is subject to Google's privacy practices and usage policies. We encourage you to review Google's Privacy Policy (https://policies.google.com/privacy) and the Gemini API Additional Terms of Service. Google may use inputs to improve their models subject to their own data usage terms.
Nature of AI Responses: AI-generated responses are probabilistic and contextual. Wagent does not guarantee the accuracy, completeness, tone, legal compliance, or appropriateness of any AI-generated output. You are solely responsible for reviewing, configuring, and overseeing the behaviour of AI agents deployed through the platform.
Your Knowledge Base Data: Documents, URLs, and custom prompts you upload or configure as part of your agent's knowledge base are processed and stored within our platform and may be passed to the AI model as context.
We retain your personal data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will delete or anonymise your personal data within 30 days, except where retention is required by law or for the resolution of outstanding disputes.
Backup copies may persist in encrypted form for up to 90 days following deletion before being permanently purged.
If you are located in the European Economic Area (EEA), the United Kingdom, or another jurisdiction with applicable data protection legislation, you may have the following rights:
— Right of Access: Request a copy of the personal data we hold about you
— Right to Rectification: Request correction of inaccurate or incomplete data
— Right to Erasure: Request deletion of your personal data ("right to be forgotten")
— Right to Restriction: Request that we limit how we process your data
— Right to Data Portability: Receive your data in a structured, machine-readable format
— Right to Object: Object to processing based on legitimate interests
— Right to Withdraw Consent: Where processing is based on consent, withdraw it at any time
To exercise any of these rights, contact us at wagent.ai@proton.me. We will respond within 30 days. You also have the right to lodge a complaint with a relevant supervisory authority.
Wagent operates globally. Your data may be processed in countries outside your country of residence, including the United States, where our sub-processors are based. When we transfer data internationally, we rely on appropriate safeguards such as Standard Contractual Clauses approved by the European Commission or equivalent mechanisms to ensure your data is protected.
The Service is not directed to individuals under the age of 16. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected personal information from a minor, we will delete it promptly. If you believe we may have collected information from a minor, please contact us at wagent.ai@proton.me.
We may update this Privacy Policy periodically to reflect changes in our practices, legal requirements, or Service features. Material changes will be communicated via email or a prominent notice within the platform. Your continued use of the Service following the effective date of any updated policy constitutes your acceptance of those changes.
